Helpmonks Review

Visit Helpmonks

Shared email inbox without per-user pricing for support, sales and ops teams.

From:
$49/mo
Facts checked:

Helpmonks is a shared inbox built around email. It charges for each inbox, not for each person: every plan has unlimited users, and the bill only goes up when you add queues, chat sites or campaign volume. It also includes live chat, a knowledge base, a contact CRM and marketing campaigns. It is not built around the ecommerce order, and a DTC team should know that before starting the trial.

What it does

  • Shared inboxes for addresses like support@, sales@ and billing@, with assignment, labels, private notes, a warning when a teammate is already replying, and tracked follow-ups
  • Customer and company history next to every conversation (Helpmonks calls this its email CRM)
  • Live chat widget plus public or private knowledge-base sites. Each plan limits how many sites you can run
  • Outbound messages to the same contact list: campaigns, drip sequences, landing pages, forms and website push notifications
  • Outlook.com and Microsoft 365 mailboxes connect through Microsoft OAuth on every plan
  • Mobile, desktop and terminal (TUI) apps on every plan, plus an API, a CLI and an MCP server for connecting ChatGPT, Claude or internal tools
  • The homepage labels the iOS and Android apps as beta
  • Missing: neither page we read mentions phone, SMS, WhatsApp, Instagram or Facebook channels. Neither mentions a Shopify or other ecommerce order integration. Treat both as absent until Helpmonks shows you otherwise

Prices in US dollars. Source: helpmonks.com/pricing, checked .

  • One flat price per account, not per user. Billing is monthly by default. You can pay annually through sales, but the price is the same, with no discount
  • Team $49/month billed monthly: 3 shared inboxes, 1 live-chat site, 1 knowledge-base site, 250 AI-assisted conversations a month, standard workflows and reports, email support
  • Business $99/month billed monthly: 10 shared inboxes, 5 chat sites, 5 knowledge-base sites, 1,000 AI-assisted conversations, advanced workflows and reports, priority email support
  • Business+ $249/month billed monthly: 40 shared inboxes, 15 chat sites, 15 knowledge-base sites, 5,000 AI-assisted conversations, SSO/SAML, SLA, audit log, advanced permissions
  • Scale $499/month billed monthly: 500 shared inboxes, 50 chat sites, 50 knowledge-base sites, 20,000 AI-assisted conversations, white-label, custom domains, higher API limits, migration assistance
  • Dedicated server or on-premises: contact sales
  • Every plan includes unlimited users, unlimited conversations and unlimited stored contacts
  • Extra shared inboxes: $15/month each on Team, $10/month each on Business and above, billed monthly. Aliases that feed the same queue are not counted as extra inboxes
  • The arithmetic: Team plus extra inboxes costs more than Business from the seventh inbox ($109 against $99, billed monthly)
  • Business plus extra inboxes only reaches the Business+ price at 25 inboxes ($249 billed monthly). So below that, the step up to Business+ buys SSO, the audit log and permissions, not inbox capacity
  • Campaign caps apply to each send: 2,500 recipients on Team, rising to 250,000 on Scale
  • On Team and Business you connect your own SMTP server for marketing sends. Helpmonks-managed SMTP starts at Business+
  • 30-day free trial. Your plan price is locked for at least three years once activated
  • Qualifying non-profits get up to 30% off. Eligible open-source projects use it free

AI pricing (included, capped by conversation)

  • There is no separate AI charge. Summaries, drafting, rewriting, tone, clarity and translation are included on every paid plan
  • The allowance counts AI-assisted conversations. Each conversation counts once per billing period, however many AI actions an agent uses in it
  • Monthly allowances: 250 on Team, 1,000 on Business, 5,000 on Business+, 20,000 on Scale
  • No overage price is published. Once you hit the cap you can wait for the reset, connect your own AI provider, or ask Helpmonks for more capacity
  • Any paid plan can connect its own AI provider. That provider then bills you directly, and the usage does not count against the allowance. The pricing page does not list which providers are supported
  • An admin can turn AI off for the whole workspace
  • What it can't do: send anything. Replies arrive as editable suggestions and a person sends them. It does not resolve conversations on its own and has no access to orders
  • Automated triage (classification, urgency detection, assignment, routing) is not part of the allowance. The plan table shows it as an add-on on every plan, but the FAQ says it will be offered separately. No price is published

Before you commit

  • 250 AI-assisted conversations on Team runs out fast. If agents use AI on most of 1,000+ conversations a month, expect to hit the cap early and then either stop using it or pay your own AI provider
  • SSO, SAML, the audit log and advanced permissions start at Business+, $249/month billed monthly
  • Business+ and Scale list an SLA without saying whether it is an uptime promise from Helpmonks or response-time targets inside the inbox. Get that in writing
  • HIPAA-compliant hosting and a choice of server region only appear under the contact-sales dedicated/on-premises option. The pages we read say nothing about HIPAA or data region for the standard cloud plans
  • There is no annual discount, so paying up front saves you nothing
  • The mobile apps are beta. If agents cover weekends from their phones, test the apps during the trial
  • Users are genuinely unlimited. The limits you hit instead are inboxes and chat sites: Team has one live-chat site, so a second storefront with its own chat widget pushes you to Business
  • Migration assistance is only listed on Scale. On lower plans, expect to move your history yourself

Who should buy it, and who should skip it

Who should buy

  • Small shops where lots of people answer customer email now and then (founders, ops, warehouse, finance) and per-seat pricing has been the obstacle
  • Teams whose mail already lives in Outlook or Microsoft 365
  • Teams that want order updates and follow-up sequences sent from the same contact list support uses
  • Admins who want to use their own AI provider for drafting and control the model costs themselves

Who should skip it

  • Shopify brands that expect to refund, cancel or edit an order without leaving the conversation
  • Teams whose customers arrive by phone, SMS, WhatsApp or Instagram DMs
  • Anyone who wants AI that answers or resolves customers without an agent
  • Buyers who need SSO but have a budget under $249 a month

How we checked this

Plans, prices, allowances, extra-inbox rates and billing terms come from the Helpmonks pricing page, checked 2026-10-07. The prices appear in the page text as served, so nothing was inferred from code. Product features, the beta status of the mobile apps and the Microsoft 365 connection come from the Helpmonks homepage, checked the same day. We did not read Helpmonks's integrations, security, status or documentation pages for this draft. That means the missing Shopify integration and the missing phone and social channels are absences on the pages we read, not confirmed gaps. Also unverified: HIPAA and data region on the standard cloud plans, uptime history, and what the SLA covers. Helpmonks's own pricing page contradicts itself on whether automated AI triage is available now or coming later; we recorded both versions. Neither page states a headquarters or founding year. No review-site text was used.
