HelpSpot Review
Email ticketing help desk available as US/EU cloud or a self-hosted install.

HelpSpot is an email-first ticketing system from UserScape, a Poughkeepsie, New York company that has sold it since 2005. There is one plan with every feature in it, billed annually by agent count, and it costs the same whether you run it in HelpSpot's US cloud, its EU cloud or on your own servers. It starts from the shared mailbox rather than from chat, and for a DTC team that settles the fit question before anything else does.

What it does
- Inbound channels on the homepage diagram: email (Microsoft 365, Gmail, IMAP), a customer portal with contact forms, and the API
- Unlimited mailboxes, each with its own auto-reply and signature, worked from one threaded inbox
- Single assignment: every ticket has one owner, plus collision detection when two agents open the same ticket
- SLA timers that alert before a breach, saved replies with merge variables, bulk updates across hundreds of tickets, 11 custom field types
- Rules engine for escalation, auto-reply and routing, with Slack notification shown as an action
- Built-in CSAT, loyalty and thumbs up/down surveys, sent automatically a few days after a ticket closes
- Knowledge base organised as books, chapters and pages, with public books for customers and private books for staff
- REST API, webhooks, an MCP server, Zapier, and a CRM data lookup that the homepage says pulls customer data from external systems into the ticket in real time
- Missing: none of the pages we read names live chat, social DMs, WhatsApp, SMS or voice as a channel, or a native Shopify integration. Order history in the ticket means building that CRM data connection or a Zapier connection yourself

Prices in US dollars. Source: helpspot.com/pricing, checked .
- Annual licence by agent tier, in US dollars: 3 agents $899 a year, 5 agents $1,299, 7 agents $1,799, 10 agents $2,199, 15 agents $3,199, 20 agents $4,199, 25 agents $4,999, 50 agents $9,999, 100 agents $16,999. Tiers continue up to 2,000 agents at $124,999 a year
- Billed annually only. The page is titled "Simple Annual Pricing", the calculator says "Sold Annually", and no monthly option is shown
- One plan. Every feature, AI included, at every tier. No per-ticket charge and no mailbox limit
- Agents are "sold in tiers". Adding people means moving to the next tier, prorated for the rest of the term
- Only staff who log in count as agents. A departed agent's licence can go to someone else
- Same price for US cloud, EU cloud and self-hosted
- 15% off for qualifying non-profits and academic institutions
- 21-day free trial with no card. Trial data is deleted if you do not buy
- 90-day money-back guarantee, no setup fee, onboarding included
AI pricing (included, with a caveat)
- Not billed separately: the built-in AI comes with every subscription, needs no API key and has no per-use charge
- The caveat: HelpSpot says "standard AI usage for your ticket volume" is included and that it "may add premium AI features in the future". Neither phrase is defined anywhere we read
- Included: AI Composer turns an agent's rough notes into a full reply, drawing on ticket history, customer info and linked articles
- Also included: auto-categorisation (the vendor claims 94% accuracy after 10 examples per category, and says it works best with 50 categories or fewer), summaries of long threads, two-way translation, custom prompts and out-of-office detection
- The MCP server lets Claude, ChatGPT or another MCP client read and update tickets, edit articles and build reports, within the user's permissions. You supply the AI client yourself
- Text goes to OpenAI and Anthropic for processing, under what HelpSpot calls zero data retention
- What it can't do: answer a customer on its own. Composer never sends without an agent, and no customer-facing AI agent or order action (refund, cancel, address change) appears on any page we read
Before you commit
- Seasonal staffing is the expensive case. Annual billing plus agent tiers means you pay for your November headcount all year: growing from 5 to 10 agents moves you from the $1,299 tier to the $2,199 tier for the rest of the term
- No chat widget, so a DTC brand running chat or Instagram DMs needs a second tool, and those conversations will not be in the HelpSpot ticket history
- Compliance status is not stated: neither the homepage nor the pricing page mentions SOC 2 or HIPAA. Ask for the report itself
- The 99.9% uptime figure is printed for the US cloud. We found no SLA document saying it is contractual
- The homepage says self-hosted installs can run fully offline, but the AI features call OpenAI and Anthropic. We could not confirm what still works on an air-gapped install
- Translation is "40+ languages" on the homepage and "dozens" on the AI page. Test your customers' languages during the trial
Who should buy it, and who should skip it
Who should buy
- Email-only DTC and B2C teams that want a clean queue with real ownership and SLA timers, not another chat suite
- Brands with spiky ticket volume and stable headcount, because tickets are unlimited and the bill moves only with agent count
- Teams that need EU hosting or a self-hosted install without paying more for it
Who should skip it
- Chat-first or social-first DTC brands
- Shopify teams that expect agents, or the AI, to edit, cancel or refund an order from the ticket
- Anyone who wants AI to resolve tickets without an agent
- Teams that bring on seasonal temps or need monthly billing
- Buyers who need a SOC 2 Type 2 report in hand before signing, until HelpSpot publishes its compliance status
How we checked this
Everything here was read from HelpSpot's own pages on 2026-10-07: the homepage, the pricing page, the AI page and the vendor's llms.txt index (served from a copy dated 2026-09-09). The pricing calculator draws its figures in JavaScript, so the tier prices come from the verified price list for the pricing page, checked on 2026-10-12, which matches the page's structured data. Billing basis, tier structure and inclusions came from that page's visible text. Neither the homepage nor the pricing page mentioned SOC 2 or HIPAA when rechecked on 2026-10-12. We did not read the status page, security page, system requirements, B2C solution page or developer docs, so uptime history, the setup effort for the CRM data lookup and self-hosted requirements are unverified. No review-site text was used.
