Kayako Review
AI-assisted help desk with ticketing and shared inbox for mid-market support teams.

Kayako now sells itself mainly through Kay, an AI support agent that can act on a customer's order or account as well as answer questions. You can buy it two ways: as Kayako One, a complete help desk with Kay built in, or as Kay alone running on top of the Zendesk, Freshdesk, Intercom or Salesforce desk you already have. The only price Kayako publishes is the AI meter, and the vendor's team does every deployment for you.

What it does
- Kayako One lists a unified inbox, ticketing, a knowledge base, a live chat widget, automation rules, reporting and analytics, and white-glove onboarding
- The homepage says email, live chat, social and voice all land in one shared queue
- SingleView puts the customer's history, orders and data on every ticket, for both agents and Kay
- No-code rules for routing, assignment and escalation, plus SLA tracking for first contact resolution, resolution time and cost per ticket
- The knowledge base uses semantic search and is also what Kay draws its answers from
- Kay can triage, draft replies, create users, issue refunds, update data and close cases. The pricing page adds return labels, order updates and password resets
- Connectors shown on the pricing page: Slack, Stripe, Shopify, Zendesk, Salesforce, Twilio, HubSpot, and your own API ("If your system has an API, Kay can use it")
- Security claims on the homepage: SOC 2 Type II, GDPR, SSO/SAML, role-based access and audit logs. The pages we read do not say which of these are tied to a plan
- Missing: Kayako's own pages disagree on channels. The Channels menu lists only Email and Chat, while the homepage also promises social and voice. No social network or voice provider is named, apart from Twilio in the connector list
Pricing at a glance
| Plan | What you get |
|---|---|
| Kayako One | Priced by quote (Talk to an Expert). |
Prices in US dollars. Source: kayako.com/pricing, checked .
- Kay AI agent: $1 per resolved ticket. Kayako does not say whether this is billed monthly or annually, or whether there is a minimum commitment
- The pricing page says "No seat fees. No setup fees." That line sits under the Kay headline, and the page does not say whether it covers Kayako One
- Kayako One, the full help desk: Contact sales. No platform fee, seat price or billing basis is published
- Kay on your existing help desk: $1 per resolution as above. Whether there is a platform fee on top is Contact sales, and you keep paying your current help desk vendor either way
- No free plan, free trial or self-serve signup is shown. Every button leads to a strategy session, a demo or a pricing expert
AI pricing (published, but only the meter)
- $1 per resolution, charged only when Kay fully resolves the ticket with no human agent involved
- Not billed: escalations to humans, partial resolutions and simple deflections
- A resolution counts if Kay takes an action, or gives an answer the customer confirms solved the problem. The page does not explain how that confirmation is captured, or what happens when a customer just stops replying
- No spending cap, included allowance or volume discount is published
- What this means for a DTC shop: if Kay closes 2,000 where-is-my-order tickets a month, that is $2,000 a month in AI fees before any platform fee. Unlike a seat price, this bill grows with your peak season
- Kayako's comparison line, "$1 vs $4.60 Cost Per Resolution", does not say what the $4.60 is measured against
- What it can do that many AI agents cannot: issue refunds, send prepaid return labels, set up exchanges and change a shipping address mid-conversation
- What it can't do: the pages we read do not say. No refund limits, approval steps or excluded order states are documented, so ask before you give an AI refund authority
Before you commit
- You cannot work out total cost before a sales call. Get the Kayako One platform fee, the billing basis for the $1 meter and any minimum commitment in writing
- Ask how a confirmed resolution is measured, and whether you can audit which tickets you were billed for
- "If your system has an API, Kay can use it" means each action is a custom integration. Find out who maintains it when your Shopify or 3PL setup changes
- Settle the channel conflict (social and voice versus Email and Chat only) before you assume Instagram DMs or phone calls are covered
- Kayako's resolution figures disagree from page to page: 52% AI-resolved in the homepage before-and-after, 68% AI resolution rate on the pricing page, and 80% of repetitive tickets automated within 90 days. All are vendor-reported
- The named results (Trilogy, Aurea, Khoros, IgniteTech, Contently) come from Kayako's own pages, and most are enterprise software companies, not ecommerce brands
- The site footer names ESW Operations, LLC as the copyright holder. Confirm which legal entity you would be contracting with
- The footer also still links to a separate Kayako Classic product. Make sure your quote is for the current platform
- We did not check uptime, the status page, data residency or support hours (see below)
Who should buy it, and who should skip it
Who should buy
- Teams already on Zendesk, Freshdesk, Intercom or Salesforce that want an AI agent able to change orders, without migrating
- Ecommerce teams with a lot of repetitive exchange, return-label and address-change tickets, and a Shopify or Stripe stack Kay can connect to
- Support leads who want the vendor to configure and tune the AI rather than doing it themselves
Who should skip it
- Small DTC shops that want to see a price, sign up and be running by tonight
- Anyone who needs a fixed monthly AI cost, since there is no published cap on the per-resolution meter
- Teams that rely on phone or social channels, until Kayako confirms in writing which channels it supports
- Buyers who want to try the product before speaking to sales
How we checked this
We read two of Kayako's own pages on 2026-10-07: the homepage at https://kayako.com and the pricing page at https://kayako.com/pricing/. The $1-per-resolution figure appears in the pricing page's text; no figure is published for Kayako One, so it is listed as Contact sales. We could not get to Kayako's security, status, documentation or about pages in this pass. That means the security claims above are as Kayako states them, and the founding year, headquarters, uptime, data residency and support hours are still unverified. Where Kayako's own pages contradicted each other, on channels and on AI resolution rates, we recorded the conflict. No review-site text was used.
